Generate and publish term report cards

TL;DR

Pull together scores, attendance, and teacher comments into a report card for every student in a class, then send the finished cards to parents.

Report cards at the end of term are usually the most stressful piece of school admin work. Edunile takes most of the heavy lifting out of it — scores, attendance, and ranking are pulled in automatically, teachers add their comments, you review and approve, and then the cards go out to parents in one go. This guide walks through the whole flow from start to finish.

Step 01

Open the Report Cards page

From your dashboard, go to Reports in the menu. You'll see two dropdowns at the top of the page — Session and Class. Pick the term you want to report on (e.g. First Term 2026/2027) and the class.

The page fills with a list of every student in that class. The Status column tells you where each report card is in the process: No Record, Draft, Submitted, Approved, or Sent.

Generate the draft cards

Click Generate All Drafts at the top. Edunile builds a draft report card for every student in the class. This pulls together:

  • Their score in every subject (from the assessments your teachers entered).
  • Their position in the class.
  • Their attendance for the term.
  • A blank space for the teacher's comment, the head teacher's comment, and the principal's comment.

After a minute or so, every student's status moves from No Record to Draft. The draft cards are saved — you don't need to keep them open in the browser to preserve them.

Ask teachers to add their comments

Switch to the Teacher Review tab at the top of the page. From here, the class teacher can open each student's card and write their personal comment — the bit that says something specific about the student's effort, behaviour, and areas to work on.

If you're the class teacher, click any student's name to open the card editor. Type your comment in the Class Teacher's Remark box and click Submit for Approval. The student's status moves from Draft to Submitted.

If you're an admin reading this — your teachers do this part. The Teacher Review tab is also their normal entry point; they see only the classes they teach.

Review and approve

Once all teachers have submitted their comments, the cards are ready for admin review. Back on the main Report Cards page, every student should now show Submitted.

Click into each student's card to read through it. Check that:

  • The comment is appropriate and free of typos.
  • The scores and totals look right.
  • The principal's comment is added (if your school adds one at this step).

Click Approve at the bottom of each card to mark it ready. Students with approved cards move to status Approved.

If a card needs changes, click Send Back instead and write a short note for the teacher. The card returns to Draft and they can edit it.

Send the approved cards to parents

When you've approved every card you're ready to release, click Send Approved at the top of the page. Edunile shows you a count — Send 28 approved report cards to parents? — and lists which students will be included.

Confirm. The cards go out by email and (where the school has WhatsApp set up) by WhatsApp. Each parent gets a personal link to view and download their child's PDF.

When the send is done, every approved student moves to status Sent. That's the end of the workflow for this class.

Common issues

Common issues
A student is missing from the class list

The Reports page only shows students who were enrolled in the class during the term you picked. If a student moved classes mid-term, they may appear in the old class instead. Switch to the old class and you should find them.

The scores look wrong on a draft card

Don't fix the card directly — fix the underlying assessment instead. Go to the class's Academics tab, find the assessment, correct the score, then come back to Reports and click Generate All Drafts again. The card will rebuild with the right numbers.

A teacher says they can't see their class on the Teacher Review tab

Teachers only see classes they're assigned to as the class teacher. Check the class's Academics tab — is the right teacher listed? If not, fix the assignment (see add staff) and ask them to refresh.

Some parents say they got the card but it has the wrong child's name

This is almost always a parent-account mix-up rather than a report card bug. Open the affected children's profiles, check that each has the correct parent linked, fix any swaps, and re-send the report cards for those children individually (open the card, click Resend).

I clicked Send Approved by mistake

Once a report card is sent, the parent can already see it. You can't un-send. If there's a serious mistake, send the parent a follow-up message explaining the correction, fix the source data, regenerate, approve, and resend. Can I print the report cards instead of sending them online?

Yes. From the main Report Cards page, tick the students you want and click Download PDFs. Edunile gives you a single zip file with one PDF per student, ready to print and hand out at PTA.
